Request Information - Charging Policy

It is difficult to be certain of the charge for a specific data search before checking the parameters of the particular site in question and the information requested. However, it is possible to set out some standard charges for full data searches (see enquiry definitions below).

Please note that final charges will be set by KMBRC once we are in possession of a completed data request form and map of the search area, and we reserve the right to charge for any given enquiry.



Please also note that the charge KMBRC makes for enquiries is for the time it takes staff to capture, audit, maintain, extract and supply data to the enquirer.

This is not a charge for the data itself

. The KMBRC reserves the right to recoup a proportion of the costs of acquiring and managing data from its users, within the scope of maintaining charges at a reasonable level.

It is important to note that a portion of the income derived from this enquiry service is used to promote, support and assist the voluntary recording community in Kent, without whom there would be no data, and the KMBRC would not exist.

As of 1st January 2008 our charging policy will be as follows:

£200 plus v.a.t. per hour basic charge with an additional charge of £50 plus v.a.t. per 15 minutes thereafter. This rate is based upon a standard search which includes the following items:
  • A Protected Areas Map
  • A Protected Species Inventory
  • A Kent Red Data Book Species Inventory
  • A BAP Species Inventory
  • A Bats Inventory
  • A Birds Inventory

All information will be supplied in Adobe PDF format with maps as jpg's.

Deviations from standard costs:

Habitat map and BAP habitat maps will cost an additional £40 plus v.a.t.

If a search is for only a single species, i.e. bats, the charge will be £100 plus v.a.t.


Charges are discounted by 50% for data searches which result in a complete absence of data.

Hard copies of the enquiry reports can be produced on request for a charge of £20 plus v.a.t. per copy.

Exemptions from Payment:

Enquiries received from the general public are normally free of charge for the first hour of work. Enquiries on a larger scale will be discussed individually and either the scope of enquiry reduced or a charge may be levied. It should be noted that no enquiry data should be used for commercial purposes. If this is intended, then a payment must be made.

Searches on behalf of species recording groups and individuals are free of charge. Data processing, manipulation and interrogation facilities are available to the recording groups and individuals, under the provision of the technical support for recording groups.

No charge is made to organisations that are KMBRC partners (i.e. they have a Service Level Agreement - SLA). This also applies to their contractors, but only when specifically working for a partner. Details must be given on the relevant section of the Information Request Form upon submission. Both the contractor and the partner must be in agreement regarding the charge waiver for this to apply.

Some other categories of user may also be exempt from charges. Please contact the KMBRC to discuss your situation.
